Get Proof of Delivery the Same Day: Why the POD Decides When You Get Paid

Aug 18, 20263 min readBy the HaulEye team
Short version: You can't invoice a shipper without the signed POD, so every day the paperwork is late is a day your cash is late. Have the driver photograph the signed POD in an app before leaving the receiver, attach it to the load automatically, and invoice the same day.

For a freight broker, a load isn't finished when the truck delivers. It's finished when you have the signed proof of delivery, because most shippers won't pay an invoice without one. That means the gap between delivery and the POD reaching you is money sitting still.

What a POD is and why shippers want it

The proof of delivery is usually the bill of lading signed by the receiver, sometimes with notes about shortages, damage or delivery time. It's the document that says the freight arrived and who accepted it. Shippers want it before they pay, and carriers often need it to get paid by you or their factoring company. Everyone in the chain is waiting on the same piece of paper.

Where PODs get stuck

  • The driver forgets. They deliver, head to the next pickup, and the paperwork rides in the cab for days.
  • It goes to the wrong place. The POD gets sent to the carrier's dispatcher or factoring company, and you have to chase it.
  • It's unreadable. A blurry photo of a crumpled page, sent at an angle, missing the signature.
  • It's buried in texts. It came in, but it's on someone's personal phone between two other conversations.

Each one turns a same-day invoice into a next-week invoice.

How to get the POD the same day

Ask for it before the truck leaves the receiver

The best moment to get the POD is the moment it's signed. If the driver has a place to snap it right there, it's done before they pull out. Once the truck is back on the road, your chances drop.

Put the upload where the driver already is

If the driver is already using an app to track the load, the POD button should be on the same screen. No separate email address, no guessing which number to text it to.

Attach it to the load automatically

A POD that lands on the right load, with a timestamp, is ready to invoice. A POD that lands in a group text still needs someone to find it, rename it and file it.

Check it right away

Look at it while the driver is still at the dock. If the signature is missing or the photo is unreadable, they can fix it in two minutes. Tomorrow, it's a problem.

Tracking and the POD are the same workflow

It's easy to think of tracking and paperwork as separate jobs. They aren't. The geofence that marks the truck as arrived at the receiver is the perfect trigger for "please snap the POD". The arrival timestamp backs up the delivery time on the document, and the tracking log backs up any detention you bill.

The truck arrives, the arrival is logged, the driver snaps the signed POD, and it lands on the load. You invoice before the driver reaches their next pickup.

What faster PODs are worth

Getting the POD a few days earlier on every load pulls your whole invoicing cycle forward. It also means fewer "did you get the POD?" calls, fewer lost documents, and a cleaner record if a shipper disputes a delivery.

In HaulEye, the driver photographs the POD in the same app they track with, and it lands on the load for you. You can also send the BOL to the driver's app before pickup, so the paperwork both ways lives in one place. Plans start at $100 a month with 10 tracked loads included.
