Give Shippers a Live Tracking Link Instead of Status Update Emails
A lot of check calls don't start with you. They start with your customer. The shipper's logistics coordinator wants to know where the truck is, so they email or call you, and you go find out. You're a relay between two people who both just want to know where the freight is.
A live tracking link takes you out of the middle.
What a shipper tracking link is
It's a web page for one load that you send to your customer. They open it on any device, with no login, and see:
- A live map with the truck's latest position.
- The current status: at the shipper, in transit, at the receiver, delivered.
- The ETA, based on where the truck actually is.
- Your company name and logo at the top.
They can check it every ten minutes if they want, and none of those checks is a phone call to you.
Why your name on it matters
The link should look like it came from your brokerage, not from a software vendor. Your logo at the top tells the shipper this is your service. It makes a small brokerage look as organized as a big one, and it keeps the relationship with you, not with whatever tool is behind it.
What to leave off the page
A shipper link is for the shipper, so keep it clean. There are a few things they don't need to see:
- The driver's phone number. You don't want the shipper calling the driver directly.
- The carrier's rate or anything about your margin.
- Internal notes and chat between you and the driver.
Show position, status and ETA. That answers the question they're actually asking.
When to send it
- When the load is covered. Include the link in your confirmation: "Your truck is booked, and here's live tracking."
- When the truck is loaded. A quick "picked up on time, link's live" builds confidence.
- Whenever they ask. Instead of looking it up, reply with the link.
After a few loads, good customers stop asking and just open the link.
It helps you win the next load
Shippers remember which broker made their day easier. The one who sends a clean tracking link without being asked, and whose trucks show up on a map, is the one they call first. Visibility used to be something only large brokerages offered. Now any broker can.
The best status update is the one your customer didn't have to ask for.
